Use case: first import

Your first sourcing round, read in an order that saves rework.

A first-time importer meets many listings that look alike and has no yardstick for what is normal. This page walks one buyer through the research from specification to a comparable shortlist.

The first-timer's question

Which candidates are comparable with each other, and what do I still not know about them?

Quotes can be compared only when they are about the same product. The research therefore starts from a written specification and a stated order size, then reads candidates in an order that moves from structured records to marketplace listings, so claims are met with something to check them against. The output is a matrix on one basis and a list of what remains unclear.

Legal and import rules depend on your product and market and belong with qualified advisers.

The shortlist is candidates matching the criteria in reviewed sources, not a market-wide list.

Step by step

Six steps for a first round

Each step produces a document; none requires contacting a supplier first.

01

Write the specification in measurable terms

Dimensions, materials, tolerances, finish, packaging, labelling language. Vague words are replaced by numbers or by photographs.

02

State the order you are really planning

First order size, expected repeat, number of variants. Minimums are read against this, not against hope.

03

Set each listing beside a record

A marketplace storefront is the seller's own statement. It is read against any company record or exhibitor entry that can be found for the same name.

04

Record who the seller appears to be

Whether a candidate makes or resells is one column in the table, marked inference where only indirect sources exist. Manufacturer Search covers it in depth.

05

Compare on one basis

Stated minimums, lead-time statements, sample policy and stated standards in one table, with the original wording beside each cell.

06

List what stays open

Per candidate: what the sources left unclear and which documents are yours to request.

Two things a first round has to separate

Order size on paper

Stated minimums are read against the first order you actually plan, so a headline figure is not mistaken for a fit.

Who is on the invoice

The selling entity and the producing entity may differ. The report records which one each document names.
