This Privacy Policy describes how Latynex Trade ("Latynex", "we", "us", "our"), operator of the website latynex.com, collects, uses, stores and protects your personal data when you use our website or enquire about our logistics services.

We are committed to processing personal data in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR") and applicable national data protection laws.

2. What Data We Collect

2.1 Data You Provide Directly

When you submit a freight quote request, logistics assessment order or contact enquiry, we collect:

  • Identity data: full name, company name (optional)
  • Contact data: email address, WhatsApp number, Telegram username
  • Shipment data: origin city, destination country, cargo type, weight, volume, Incoterm preference, DDP requirement, Amazon FBA destination
  • Business data: business type, destination market, logistics goals, supplier quote information (if provided)
  • Enquiry content: free-text messages and notes you include in a form submission

2.2 Data Collected Automatically

When you visit our website, we may automatically collect:

  • Technical data: IP address, browser type and version, operating system, device type
  • Usage data: pages visited, time on site, referring URL, click interactions
  • Analytics data: aggregated user behaviour via Google Analytics 4 (see Section 6)

2.3 Data We Do Not Collect

We do not collect special category data (health, biometric, political, religious data). We do not collect payment card details — payment processing is handled directly by third-party payment providers where applicable.

4. How Long We Keep Your Data

We retain personal data only as long as necessary for the purpose it was collected:

  • Quote and enquiry data: 12 months from last contact, unless a business relationship develops
  • Assessment and service data: 5 years from completion (legal and commercial records)
  • Analytics data: 14 months (Google Analytics default retention)
  • Telegram notification data: Retained on the Telegram platform subject to Telegram's own data retention policies

When data is no longer needed, it is securely deleted or anonymised.

5. Who We Share Your Data With

We do not sell, rent or trade your personal data to third parties. We share data only where necessary:

  • Telegram (Telegram FZ LLC / TON Foundation): Form submission data is sent via the Telegram Bot API to our internal notification system. Telegram's privacy policy applies to data on their platform.
  • Google Analytics (Google Ireland Ltd): Anonymised usage data is processed by Google Analytics 4 in accordance with Google's privacy policy.
  • Hosting infrastructure: Our hosting provider processes data as a data processor under appropriate data processing agreements.
  • Legal disclosure: We may disclose data if required by law, court order or regulatory authority.

All third-party processors with whom we share personal data are required to maintain appropriate security measures and process data only on our instructions.

6. Cookies and Analytics

Our website uses Google Analytics 4 to collect anonymised data about website usage. Google Analytics uses cookies and similar technologies to collect information about how visitors use our site.

Consent: On your first visit, we ask for your consent before enabling analytics cookies via a banner at the bottom of the page. Analytics tracking is only activated after you accept. You can withdraw consent at any time by clearing your browser's local storage for this site.

Google Analytics data collected includes: pages viewed, session duration, traffic source, device type, and approximate geographic location (country/city level). IP addresses are anonymised before processing. We use GA4 Consent Mode v2 — analytics cookies are denied by default until you accept.

You can also opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on or by adjusting your browser settings to block cookies.

We do not use any advertising cookies, social media pixels, or remarketing technologies.

7. International Data Transfers

Some of our service providers are located outside the European Economic Area (EEA). Where we transfer personal data outside the EEA, we ensure appropriate safeguards are in place in accordance with GDPR Chapter V, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Adequacy decisions where applicable

Google Analytics data is processed by Google in the USA under Google's Data Processing Terms and applicable SCCs.

8. Your Rights Under GDPR

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access (Art. 15): You may request a copy of the personal data we hold about you.
  • Right to rectification (Art. 16): You may request correction of inaccurate data.
  • Right to erasure (Art. 17): You may request deletion of your data in certain circumstances.
  • Right to restriction (Art. 18): You may request that we restrict processing of your data.
  • Right to data portability (Art. 20): You may request a copy of your data in a machine-readable format.
  • Right to object (Art. 21): You may object to processing based on legitimate interests.
  • Right to withdraw consent: Where processing is based on consent, you may withdraw at any time.

9. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration or destruction. These measures include:

  • HTTPS encryption for all data in transit
  • Access controls limiting who can view submitted lead data
  • No storage of form data in unencrypted databases (data delivered via Telegram Bot API)
  • Environment variables for all sensitive credentials — not stored in code

No method of transmission over the internet is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

10. Children's Privacy

Our website and services are directed at business users and are not intended for individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will indicate the date of the most recent update at the top of this page. Continued use of our website after any changes constitutes your acceptance of the updated policy.
